Cancellation, Make-Up & Refund Policy

Please read the following and sign at the bottom.

Program Commitment

Enrollment at AlSaah Tennis Academy reserves a training position within a structured seasonal program. Once enrolled, the Academy commits coaching staff, court time, and operational resources to support the athlete’s development. Consistent attendance is expected, and missed sessions do not alter program commitments.

Refund Policy

AlSaah Tennis Academy does not issue refunds. Tuition is non-refundable once

enrollment is confirmed. Refunds are considered only in extreme circumstances involving a documented serious medical injury or major emergency circumstance. Any exception is reviewed on a case-by-case basis and does not override Academy financial commitments.

Fall & Winter Indoor Court Time Allocation

Fall and Winter programs require the Academy to secure and prepay indoor court time in advance of the season. Accordingly, even when a refund request is submitted by the applicable deadline, a portion of the total program cost attributable to indoor court fees is non-refundable. The forfeited amount reflects court time already purchased on behalf of the athlete and is deducted prior to any approved refund. Any remaining balance will be processed in accordance with Academy policy.

Official Withdrawal Method

All withdrawals must be submitted using the Official Athlete Action Form. This ensures a clear, documented process and consistent handling of all requests.

Attendance, Cancellations & No-Shows

Cancellations made with appropriate notice may be considered for a make-up session when space allows. Late cancellations and no-shows result in the session being forfeited, as court time and coaching resources cannot be reassigned on short notice. Repeated late cancellations may affect future make-up eligibility

Spring, Summer & Fall Make-Up Structure

During Spring, Summer, and Fall sessions, designated make-up dates are embedded

within the program schedule. A maximum of four (4) make-up sessions may roll into the

immediately following season (Spring to Summer, Summer to Fall, Fall to Winter). Any

additional make-ups beyond four (4) expire at the conclusion of the season unless

explicitly approved by the Academy.

Winter Session Guidelines

Due to limited indoor court availability and condensed scheduling (typically 1–2 training

days per week), the Winter session follows adjusted guidelines. Students are permitted to

complete make-ups during the Winter session only if spots are available on alternate

training days. Four (4) make-ups will automatically transfer into the following Spring

session. Any additional make-ups beyond the four (4) will be accommodated at the

Academy’s discretion based on availability and scheduling capacity. This structured

flexibility accounts for limited indoor training time while maintaining overall program

balance.

Unused Credits

Make-up credits are non-transferable and may not be exchanged for cash, discounts, or future tuition reductions. Approved rollover credits must be used within the immediately following season.

Weather & Academy-Initiated Cancellations

If the Academy cancels a session due to weather, facility closure, or coach availability, reasonable efforts will be made to offer a comparable make-up session within the same season when possible.

Medical & Emergency Situations

Medical or emergency situations are reviewed on a case-by-case basis. Documentation may be requested. Any accommodation remains subject to availability and does not override published deadlines.

Policy Alignment & Acknowledgment

This policy operates in conjunction with the Official Athlete Action Form and the Enrollment Agreement. Enrollment and payment confirm acceptance of all Academy procedures related to cancellations, make-ups, and refunds.
